Privacy Policy
This policy explains how Ease Your Accounting LLC ("EYA", "we", "us"), a Wyoming limited liability company, handles information through the EYA Financial Dashboard application (the "App"), available at dashboard.easeyouraccounting.com. The App lets EYA's bookkeeping clients view financial reports drawn from their QuickBooks Online companies.
1. Information we collect
- Account information: the name and email address of each person we give a dashboard login, and a securely hashed password. We do not see or store passwords in readable form.
- QuickBooks Online data: when a client authorizes the App, we connect to their QuickBooks Online company through Intuit's official API with read-only use. We retrieve company information (such as the company name) and financial reports, including Profit & Loss and Balance Sheet reports by month.
- Connection credentials: the access and refresh tokens Intuit issues for each connected company, used only to retrieve the data above. We never receive or store QuickBooks usernames or passwords.
- Technical information: basic logs (such as sign-in times and sync results) needed to operate and secure the App.
2. How we use information
- To display financial dashboards to the client and the people the client authorizes.
- To support the bookkeeping and reporting services EYA provides to that client.
- To keep the App secure, troubleshoot problems and maintain the connection to QuickBooks Online.
We do not sell, rent or trade any information. We do not use client financial data for advertising or share it with marketers.
3. Who can see your data
- Your authorized users: each login can only see the companies it has been granted access to. Access controls are enforced in the database itself.
- EYA staff: only to provide services to you.
- Service providers: we rely on Supabase (database, authentication and hosting of our data in the United States), Cloudflare (website hosting and security) and Intuit (the QuickBooks Online API). They process data only to provide their services to us.
- Legal requirements: we may disclose information if required by law or valid legal process.
4. Security
Data is encrypted in transit (HTTPS/TLS). Data is stored in the United States with access limited by role-based permissions and row-level security, so one client can never see another client's data. QuickBooks connection tokens are not accessible from the dashboard and are used only by our server-side sync process. No system is perfectly secure, but we take reasonable measures to protect your information.
5. Retention and deletion
We keep dashboard data for as long as you are an EYA client or until you ask us to delete it. If you disconnect the App from QuickBooks Online or end your engagement with EYA, we stop retrieving new data, and we will delete your QuickBooks data and connection tokens within 30 days of your written request.
6. Disconnecting
You can disconnect the App at any time from within QuickBooks Online (Settings → Apps → Connected apps), or by asking us to disconnect it. Once disconnected, the App can no longer retrieve your data.
7. Your choices
You may ask us to access, correct or delete the information we hold about you, or to remove a user's access, by contacting us at the address below.
8. Children
The App is intended for businesses and is not directed to anyone under 18.
9. Changes
We may update this policy. We will post the new version on this page with a new effective date, and notify clients of material changes.
